Networks Improve communication
Just finished my report on Networks Improve Communication, this is a draft so yet to be submitted.

Companies play the biggest role in our day-to-day life, whether they are in public or private sector. These groups are built and purpose in to achieve a number amount of goals.
Communication is the most important issue to think about when building a company, because it’s the way information pass through different sections in the organisation; it helps to make big changes, and it’s the only method for organisations in order to achieve their goals.
There are different ways to communicate inside the organisation; the most popular are face to face, voice (telephone), fax, instant messaging and E-mail. Organisations now always look for the easy, fast and lower cost way to communicate inside and between their departments.
Emails are the most suitable type of communication for organisations in now days, because each organisation now has computers, all they need is E-mail software and a SMTP server to link these computers so they can send e-mails between computers.
SMTP is known as Email Server or Network, networks/ Email servers can link to any amount of computers together, also it enables users in an organisation to share files which could be a communication as its data stored in one place where every one or who got permission could access this data and share his own data for others.
Networks also solve a lot of problems for an organisation in terms of communication between people inside that organisation, as networks offers new ways of communication instead of using faxes for example, because faxes are expensive to send and slow to transfer data, as well as face to face communication. Now with networks you can have a live meeting with who ever you want on the network by using instant messaging software or video calls via software these types save companies a lot of money which can be used to promote itself.
Take Prestavon as an example, it a company with 35 employee neither large nor small yet they all use a standalone computer which means it’s not connected to a network. This is very hard to communicate and share files because they will need to print the work and then the other guy/girl has to retype it and do the change to it; this process is long and painful. We know the company deals with mail shots which means it sends informational packages to its clients which means each employ has his own version of the customer database and when its needs updating it would take days if not weeks. The time that’s waste will affect its quality.
Therefore the will need a network to link each departments between departments in Prestavon, if (for example) the company is planning to produce a new product, the manger sends an email through “Outlook” to the designer as a network message, the designer replay that he need to discuss some of the points in the message live, then they meet on NetMeeting which is a network instant messaging software. after an agreement, the designer send a first plan project to the manger by email, if it meets the requirements it will then going to be forwarded to the finical department to calculate the costs and profits ect..
At this stage, Prestavon may have to order parts for their new products from an external local company, both companies are working as a partner, both are networked together to improve the communication and make it faster for the Prestavon to order parts when needed.
This process will save a lot of time, as the designer doesn’t have to get up from is desk and go to the manger to speak to him about something, because network communications allows him to do that while doing another work, which also saves time. If Prestavon didn’t have a network built, it will be hard for them to produce the product and takes longer time. that’s in terms of internal communication. Network could also support external communication between the company and other organisations, as if the company want to order parts, they will need to communicate with all the departments at the same time and get information about the products or parts they want or the stock they have, and then sends it to the partner who sell these products.
If we take the company “ABC” (another organisation similar to Prestavon) as an example of an organisation which don’t use networks, we could imagine how the first organisation without a network suffers from old communication methods such as telephones, computers will not be able to connect to each other and share data. They will have to spend more money on buying more printers instead of having a shared printer as in Prestavon. In ABC, a member will waste time printing out a report and leaving his desk to pass this paper to another member next department, when this is done by e-mail in Prestavon.
Where in Prestavon, every department is linked trough a network and communication is so easy using emails, people can transfer files and access shared data while they are sitting on their desks, this obviously saves a lot of time, and time is money in organisations.
